What to Ask Before Buying AV Equipment for Your School - Toomey

Purchasing AV equipment for a school is a significant investment, and one that will affect teaching and learning for years to come. Getting it right requires more than choosing a brand or a screen size — it requires asking the right questions before any order is placed.

Here are the key questions every school should work through before committing to an AV purchase.

What problem are we actually trying to solve?

This sounds obvious, but it’s the most important question to start with. Are teachers struggling to be heard in a large classroom? Is an ageing projector producing a dim image that’s affecting lesson quality? Is a particular room lacking AV provision entirely? Being specific about the problem ensures the solution is targeted and appropriate, rather than defaulting to whatever happens to be on a supplier’s current promotion.

What are the room dimensions and layout?

Display size, speaker placement, and signal distribution all depend on the physical characteristics of the space. A screen that works perfectly in a standard classroom may be undersized for a science lab with deep benches, or oversized for a small intervention room. Always provide accurate room dimensions to your supplier and ask them to specify equipment on that basis.

Who will be using the equipment, and how?

A sixth-year classroom used primarily for presentations and note-taking has different requirements from a primary school room where teachers want to use interactive features daily. A staff training room used occasionally has different demands from a busy assembly hall. Understanding the typical users and use cases will help determine whether you need basic display functionality, full interactivity, integrated audio, or all three.

What infrastructure is already in place?

New equipment does not always drop straight into an existing setup. It is worth establishing what cabling is currently in place, where power points are located, what the network connectivity is like in each room, and whether any structural work — such as new cable runs or wall reinforcement for mounting — will be required. These factors affect both the timeline and the overall cost of the project.

What is the total cost, not just the hardware cost?

A competitive equipment price can look less attractive once installation, cabling, configuration, and commissioning are factored in. Always ask for a fully inclusive quotation that covers everything required to have the system operational. Hidden costs at the installation stage are one of the most common sources of frustration in school AV projects.

What warranty and support are included?

School AV equipment needs to be reliable. Ask what the manufacturer warranty period is, what it covers, and what the process is for raising a fault. Find out whether your supplier offers an ongoing support or maintenance agreement, and what response times look like if something goes wrong during the school day.

Is this product appropriate for an educational environment?

Not all commercial display technology is built to the same standard. Education-grade equipment is designed for extended daily use, typically offers longer warranty terms, and often includes features — such as built-in lesson management software or robust touch systems — that are specifically designed for classroom environments. It is worth asking your supplier whether the products they are recommending are genuinely suited to educational use, or whether they are commercial or domestic products being repurposed.

Can we see it in action before we buy?

Reputable AV suppliers should be able to demonstrate equipment before you commit. Whether through a showroom visit, a demo unit, or a reference site at another school, seeing technology in a real-world educational environment gives you a much clearer sense of whether it will work for your staff and students.
